Clive Public Arts Advisory Commission Meeting Minutes <br />Wednesday, August 31, 2011 <br />Clive City Hall, Conference Room, 1900 NW 114th Street <br />Call to order: Acting Commission Chairman Karen Leibold called the meeting to order at 5:35 PM. <br />Members Present: Marilyn Baker, Anne Keating, Leibold, Tracy Levine, Kim Peter, Vicki Poole, Linda <br />Shanks, and Beth Wilson <br />Members Absent: Tom Murphy <br />Staff and Guests Present: Matt McQuillen, Assistant City Manager <br />Approval of Agenda and Minutes — Upon a motion made by Shanks and seconded by Keating, the <br />Agenda was unanimously approved with a minor correction. Upon a motion made by Peter and <br />seconded by Shanks, the minutes were unanimously approved. <br />Announcement from the Chair- Leibold welcomed the new Commissioners and asked the Commission <br />members to introduce themselves. <br />Citizen Presentation- None. <br />Budget Review - <br />McQuillen updated the Commission on the budget. Several expenditures have been made since the last <br />meeting related to the preparation of the Shuler site. The City has landscaped the site, built a small <br />retaining wall and installed the large slab which will be the base of the donors' recognition plaque. A <br />further payment to the artists will be made within the near future for the footings. McQuillen stated <br />there were sufficient funds for the Art Along the Trail program which will have its inaugural year in 2012. <br />He also commented that the maintenance trust fund will be funded with $9,750 which is 10% of the <br />commissions of the existing commissioned artworks. This fund will be used for the annual maintenance <br />of the City's artwork in accordance with the Master Plan. <br />McQuillen also recommended that the Commission have a discussion in the near future on what type of <br />signature piece of artwork it would want to commission next since each project requires a considerable <br />amount of lead time. <br />Project Updates - <br />Black Diamond - Shuler Public Art Memorial - <br />McQuillen reported that the landscaping, footings, hardscape and conduit for power were completed. <br />He would be working with City crews on the obtaining power for the site. He reported that the mockup <br />for the sculpture's lighting has not been completed but he would be contacting the lighting specialist to <br />determine the type of wiring that would be necessary for the site. <br />PAAC Subcommittee Work- <br />Events/Dedications- Black Diamond- The Black Diamond Dedication will be held Friday, <br />September 30, 2011 from 2 to 5 p.m. It will be held in conjunction with the Shuler Family <br />Reception and Reunion. McQuillen provided a copy of the Dedication schedule to the <br />Commission. The Events /Dedication Subcommittee has met several times to plan the <br />Dedication and will meet again next week. Levine volunteered to call donors to remind them of <br />the Dedication ceremony. Students at Shuler will be in attendance during the afternoon <br />ceremony. <br />Kids for Art in Clive- Shanks updated the Commission on the inaugural Clive children's art <br />exhibit. The winners of the City's exhibition had their artwork exhibited at the Grand Finale of <br />Jazz in July and several of the students were in attendance. Shanks received positive feedback <br />
